In my last post, I addressed the problem of information overload. And now that we are able to define the issue and understand its cause, it falls upon us to actionize this knowledge into tangible results in our everyday lives.

As an information management specialist, I believe this to be a simple, three step approach:

  1. Identify the need. Are you constantly stressed? Does a feeling of dread come over you when you think of checking your email? Do you spend longer than a half hour every day deleting needless emails? If so, then you’re probably experiencing information overload.
  1. Pause and evaluate the cause of the stressor and eliminate it. According to Paul Hemp in the Harvard Business Review: 60% of computer users check email in the bathroom, 85% of computer users say they would take a laptop on a vacation, and yet, employees consider 1/3 of the emails they receive as unnecessary.[1]  Where do these emails come from? Can you unsubscribe from anything? If it is a daily email, can you change your preferences to a weekly or monthly email? Ask yourself when you last read an update from this sender. If it has been more than two weeks, then chances are it will be more than another two before you would even be interested in doing so again. If that is the case, then I suggest removing it completely. You can always re-subscribe later.

  1. Ask yourself what matters most. Our time is finite. Sure, you can wake up at 4 a.m. every day to get a head start on everyone else and pursue your passion[2] — but it still does not negate the fact that sleep still happens.
